About the Role
We're seeking a reliable volunteer to assist in managing and organizing documents from program participants. This behind-the-scenes role is crucial for maintaining the accessibility, searchability, and security of our work. This is a remote position with a flexible schedule. It's ideal for someone who is methodical and enjoys bringing order to chaos.
Responsibilities:
- Support onboarding of new program participants by preparing and organizing intake materials.
- Collect, scan, and securely store consent forms, ID verification, and other required documentation.
- Maintain accurate digital records using file management systems or cloud-based platforms.
- Track completion status of intake forms and follow up on missing or incomplete items.
- Ensure confidentiality and adherence to data privacy protocols at all times.
- Coordinate with staff and volunteers to ensure timely and smooth intake processes.
- Identify process gaps or documentation errors and offer suggestions for improvements.
- Support reporting efforts by helping generate or organize participant data as needed.
Requirements
This volunteer role requires a commitment of 2-4 hours per week.
Attention to Detail – Ability to accurately review and organize forms, documents, and data.
Organization & Time Management – Capable of managing multiple participant files and tasks efficiently.
Digital Literacy – Comfortable using computers, scanners, cloud-based storage (e.g., Google Drive), Google or Microsoft Office Suite, and basic data entry tools.
Confidentiality & Discretion – Understands the importance of protecting sensitive personal information.
Communication Skills – Able to follow up clearly and respectfully with staff, volunteers, or participants regarding documentation.
Problem-Solving – Can identify missing items, inconsistencies, or process gaps and recommend practical solutions.
Dependability – Reliable and consistent in completing tasks, meeting deadlines, and maintaining accuracy.
