About the Role

The Volunteer Coordinator Assistant plays a key role in supporting the onboarding, scheduling, and ongoing communication with our volunteers. This role ensures that volunteers feel informed, welcomed, and engaged throughout their time with Greater Love Outreach Phoenix.

Responsibilities:

Support Volunteer Onboarding
- Send welcome emails and onboarding materials
- Assist with orientation scheduling and follow-up

Coordinate Volunteer Scheduling
- Maintain and update volunteer availability calendars
- Help assign volunteers to shifts, tasks, or events

Maintain Communication & Engagement
- Conduct regular check-ins via email or phone
- Share updates, reminders, and appreciation messages

Track Participation
- Log volunteer hours and participation using Google Sheets or tracking tools
- Keep accurate and up-to-date records for internal reporting

Collaborate with Program Leadership
- Identify and communicate ongoing volunteer needs
- Support outreach strategies to recruit and retain volunteers

Requirements

This volunteer role requires a commitment of 3–5 hours per month, as well as attending monthly volunteer meetings or check-ins.

  • Organization & Time Management: Effectively manage onboarding, scheduling, and volunteer records without oversight.

  • Communication Skills: Write clear emails, conduct check-ins, and share updates that keep volunteers engaged.

  • Tech Proficiency: Familiar with Google Workspace (Sheets, Docs, Calendar) and other tools for scheduling and tracking hours.

  • Attention to Detail: Accurately log hours, maintain calendars, and ensure up-to-date volunteer records.

  • Collaboration & Interpersonal Skills: Work well with leadership, understand volunteer needs, and contribute to team-based outreach efforts.
